Document Manager: More Info
Goal: Keep all your documents up to date. The Document Manager extracts data from supplier documents, stores them against the correct product and supplier, and notifies you when documents expire or are missing.
What it does
- Reads forwarded emails and attachments — detects document type (spec, SDS, COA, etc.)
- Extracts key data: supplier, product, expiry dates, parameters
- Files the document against the correct product and approved material
- Notifies you when documents are expiring or missing
How to use it
Forward supplier document emails to your ChemCloud AI email address. The agent will process the attachment and file it automatically. You can also upload documents directly in the app — the agent will still extract and categorise the data.Settings
Configure which document types the agent should process, whether it should auto-file or ask for confirmation, and what notifications you want for expiring or missing documents. - COA Reviewer: File Certificates of analysis against a delivery and analyse them against specifications and shelf life

How Agents Work
Every agent follows the same pattern:- Configure your agent — choose what data you want the agent to handle and how it should behave
- Forward an email — send emails to your ChemCloud AI email address (find it in ChemCloud AI → Email Inbox) and the relevant agent picks it up
- Agent takes action — the agent reads the email, extracts the data, and acts based on your settings
Sourcing Assistant
Goal: Take the manual work out of managing quotes. The Sourcing Assistant reads quote emails, extracts pricing and terms, and files them against the right sourcing request.What it does
- Reads forwarded quote emails and PDF attachments
- Extracts pricing, quantities, lead times, payment terms, and currency
- Matches the quote to the correct sourcing request and supplier
- Updates your quote comparison automatically
How to use it
When you receive a quote from a supplier, forward the email to your ChemCloud AI email address. The agent will extract the details and add the quote to the relevant request. You can review and adjust the extracted data in ChemCloud.Settings
Configure how the agent handles incoming quotes — whether it should auto-match to existing requests, how it handles quotes for products it can’t identify, and what notifications to send when new quotes are processed. Goal: Keep your deliveries up to date without manual data entry. The Delivery Tracker reads order confirmations and shipping updates, and keeps your delivery schedule current.What it does
- Reads forwarded order confirmations and shipping notifications
- Extracts delivery dates, tracking information, and order references
- Updates the relevant order and delivery status in ChemCloud
- Flags changes to expected delivery dates
How to use it
Forward order confirmations and shipping updates from your suppliers to your ChemCloud AI email address. The agent will match the email to the correct order and update the delivery details automatically.Settings

Goal: Automate quality checks on incoming Certificates of Analysis. The COA Reviewer compares COA parameters against your internal specifications and flags anything out of spec.What it does
- Reads COAs from forwarded emails or documents uploaded directly against a delivery
- Extracts test parameters, results, and batch information
- Compares results against the product’s internal specification
- Flags out-of-spec or borderline results
- Provides a pass/fail summary for each parameter
How to use it
Forward a COA email to your ChemCloud AI email address, or upload a COA directly against a delivery in ChemCloud. Either way, the agent will automatically extract the results and compare them against your internal spec.Settings

Goal: Validate shipping documents against your orders and catch errors before they cause problems. The Shipping Docs Agent reads bills of lading, packing lists, customs declarations, and commercial invoices, checking them against your order data.What it does
- Reads shipping documents from forwarded emails or direct uploads
- Identifies the document type (bill of lading, packing list, commercial invoice, customs declaration)
- Extracts quantities, weights, shipping references, and product descriptions
- Validates details against your order — flags quantity mismatches, description errors, and missing information
- Follows up with suppliers automatically when errors are found
