Order Update Agent

When a supplier sends an order confirmation or update by email, someone on your team has to read it, check the details against your purchase order, and update ChemCloud. The Order Update Agent does this automatically.

What the Agent Does

The Order Update Agent reads supplier emails that contain order confirmations or updates, and applies the changes to your orders in ChemCloud. When a relevant email arrives, the agent:
  1. Identifies it as an order update — distinguishes order confirmations from delivery notifications, invoices, or other supplier communications
  2. Extracts key details — ETA, pricing, shipping references, and other order fields
  3. Matches it to the right order — using PO numbers, supplier details, and product information
  4. Checks for discrepancies — compares the confirmed price and required-by date against what’s on your order
  5. Updates or escalates — applies changes automatically, or pauses for your review if something doesn’t match

Price & Date Checks

Before applying any update, the agent checks two things:

PriceCompares the supplier’s confirmed unit price against the price recorded on your order
Required-by dateCompares the confirmed ETA against the required-by date on your order
If either value differs from your order, the agent pauses and requests your review before making any changes. You’ll receive a notification in ChemCloud with the discrepancy highlighted, so you can decide whether to accept the change or follow up with your supplier.

How to Use It

Forward supplier order confirmation and update emails to your ChemCloud AI email address. Find this address under ChemCloud AI → Email Inbox. The agent handles:
  • Order confirmations — records the ETA and pricing, and sets the order to confirmed
  • ETA updates — adjusts delivery dates when suppliers provide revised timelines
  • Price changes — flags any price difference against your purchase order for your review

Configure Your Settings

Go to ChemCloud AI → Agent Settings → Order Update Agent to configure:
  • When the agent should act autonomously versus ask for your approval
  • Which fields to monitor for discrepancies
