Shipping Docs Agent

Shipping documentation — bills of lading, packing lists, customs declarations, commercial invoices — arrives alongside your deliveries. These documents need to be checked for accuracy, matched to the right order, and filed. Errors in shipping docs can cause delays at customs, receiving issues, or compliance problems. ChemCloud’s Shipping Docs Agent manages this for you.

What the Shipping Docs Agent Does

The Shipping Docs Agent reads shipping documents, validates them against your order data, and flags errors before they cause problems. When a shipping document arrives (via email or uploaded against a delivery), the agent:
  1. Reads the document — identifies the document type (bill of lading, packing list, commercial invoice, customs declaration, etc.)
  2. Extracts key details — quantities, weights, shipping references, consignee details, product descriptions
  3. Matches it to the right delivery — using order references, supplier details, and shipment information
  4. Validates against your order — checks quantities, product descriptions, and other details match what you ordered
  5. Flags discrepancies — highlights errors or mismatches that need attention

Error Detection

  • Reference errors — order numbers or shipping references don’t match
When an error is found, the agent flags it and can automatically follow up with the supplier to request a correction.

How to Use It

Via email

Forward shipping document emails from suppliers, freight forwarders, or logistics partners to your ChemCloud AI email address. The agent processes the attachments and validates them.

On upload

Upload shipping documents directly against a delivery in ChemCloud. The agent will still validate them against your order data.

Supplier Follow-Up

When the agent identifies an error in a shipping document, it can:
  • Notify you — flag the issue in ChemCloud for your team to review
  • Contact the supplier — send an automated email to the supplier highlighting the error and requesting a corrected document
  • Track the resolution — monitor whether the corrected document has been received

Configure Your Settings

Go to ChemCloud AI → Agent Settings to configure:
  • Which document types the agent should validate
  • What checks to run (quantities, weights, descriptions, references)
  • Whether it should auto-follow-up with suppliers on errors or wait for your approval
  • What notifications to send when errors are detected
